When you are visiting someone, or someone is paying for your trip, a well-written letter from them becomes a key part of your file. Officers read these letters closely, so the details matter.

Invitation versus sponsorship

The two are related but distinct. An invitation letter confirms that someone is hosting your visit; a sponsorship letter confirms that someone is paying for it. A single person can do both, but the file should make clear which role they are playing.

What an invitation letter should contain

  • The host's full name, address, and immigration status in the country.
  • Their relationship to you and how you know each other.
  • The purpose and exact dates of your visit.
  • Where you will stay and who covers which costs.
  • The host's signature and contact details.

What a sponsorship letter adds

If a sponsor is funding the trip, the letter should state clearly what they are covering — flights, accommodation, daily expenses — and be backed by their own financial documents.

Check for an official form
Many countries have an official sponsorship form (for example a formal declaration of undertaking). Where one exists, use it — a freeform letter alone may not be accepted.

Make the letter verifiable

Attach supporting proof: a copy of the host's ID or residence permit, evidence of their address, and their bank statements if they are sponsoring you. A letter that can be checked is far stronger than one that simply makes claims.
